This policy covers this public website. Client services, monitoring contracts, incident handling and employment matters may involve additional notices, agreements or operating procedures.

2. Personal Data We Collect

Website and device data

When you visit the site, our hosting and content delivery provider may process technical data needed to deliver pages, keep the site secure and diagnose faults. This can include IP address, approximate location derived from IP address, browser and device information, requested URLs, referrer, timestamps, performance information and error logs.

Analytics data

We use Vercel Web Analytics to understand how the public website is used. Vercel Web Analytics does not use third-party cookies. It may process page view information such as event timestamp, page URL, referrer, approximate geolocation, device type, operating system, browser version and analytics script version. Vercel identifies visitors using a hash generated from the incoming request rather than a third-party cookie. We remove query strings and page fragments before analytics page view events are sent.

We also use custom analytics events to record interactions such as link clicks, button clicks and form submissions. Custom event data is limited to non-sensitive labels such as the current page path, clicked link or button label, broad destination type, normalized destination and page area. We do not send form field values, message contents, email addresses, phone numbers or free-text enquiry details as analytics event properties.

Enquiry data

If you contact us by email, phone or through the contact form, we process the information you choose to provide. This may include your name, company, email address, phone number, site or service requirements, and the content of your message.

The website contact form submits your enquiry to our website backend, which relays it to the Aspeiro sales teams in Ireland and the UK through our email delivery provider. The submitted details are used to respond to your enquiry and are not included in website analytics events.

Data we do not ask for

Please do not send special category data, such as health information, biometric data, criminal offence data, or unnecessary identity documents through the website contact routes unless we specifically ask for it for a defined purpose.

4. Who We Share Data With

We only share personal data where needed for the purposes above. Recipients may include:

  • Vercel, which hosts and delivers this website, provides Web Analytics, and may process end-user IP addresses, request data, page view data, custom event data, logs and related technical information.
  • Postmark, which relays contact-form enquiries to our Irish and UK sales inboxes.
  • Google Fonts, where your browser requests font files or stylesheets from Google-hosted domains.
  • Email, telephone, IT, security and business administration providers used to handle enquiries and operate our systems.
  • Professional advisers, insurers, regulators, public authorities or courts where required or appropriate.

Some providers may process data outside the EEA or UK. Where that happens, we rely on appropriate safeguards such as adequacy decisions, standard contractual clauses or equivalent contractual and technical measures.

5. How Long We Keep Data

We keep personal data only for as long as needed for the purpose it was collected, including legal, accounting, security and dispute-resolution needs.

  • Website technical logs are kept only as long as needed for hosting, security, troubleshooting and operational reporting.
  • Website analytics data is kept for as long as needed to understand site traffic, review content performance, measure common interactions and maintain the website, subject to the retention settings and limits available in Vercel.
  • General enquiries are normally kept for up to 24 months after the last meaningful interaction, unless they become part of a client, supplier or legal record.
  • Client-related correspondence and records may be kept for the duration of the relationship and then for the period required to meet legal, regulatory, insurance and contract obligations.

6. Your Data Protection Rights

Depending on the circumstances and lawful basis, you may have the right to request access, correction, erasure, restriction, portability, or to object to processing based on legitimate interests. If processing is based on consent, you can withdraw that consent at any time.

You also have the right to lodge a complaint with a supervisory authority. In Ireland, this is the Data Protection Commission; in the UK, this is the Information Commissioner’s Office. You may also contact the supervisory authority where you live, work, or where you believe an infringement happened.

To make a privacy request, contact us using the details in section 8. We may need enough information to verify your identity and understand the request.

7. Cookies And Similar Technologies

As of the date above, this website does not set analytics cookies, advertising cookies or tracking pixels. We use Vercel Web Analytics and custom events, which Vercel states operate without third-party cookies.

We set an essential aspeiro-region functional cookie for up to 30 days. It stores only ie or uk so the website can show the appropriate regional sales email, phone number, address and accreditation details. The initial value is selected from the visitor’s country-level location supplied by our hosting provider.

When you dismiss the cookie notice, we set an essential aspeiro-cookie-notice cookie for up to 12 months. It stores only the value acknowledged so we do not repeatedly show the same notice.

Third-party infrastructure, such as Vercel and Google Fonts, may receive technical request data when your browser loads the site, analytics script or fonts. If we later add tools that store or access non-essential information on your device, such as advertising tags, embedded media or live chat, we will update this notice and request consent before those technologies are used where required.
